Entry Information

 

1. Time Conversion -

In order to keep all times on the leaderboards in a true comparison, we apply the Fully Automated Timing Conversion by adding .24 to all sprints (up to 200 meters), and .14 to all other races.  To do this we first round all hand timed races up to the nearest tenth.  For example, if a kid runs 6.52 in the 55 meter dash, we round it up to 6.6.  We then add .24 to the time and come up with his FAT conversion of 6.84.  This is not something we made up, it is taken from Track & Field News' BIG GREEN BOOK, which lists all conversion standards for track and field.  It is used by the NCAA and USATF.  We have also put up yard to metric conversions on our website.

 

2. Listing Qualifying Marks -

Once an athlete has matched or bettered a qualifying time or distance/height, we bold his/her name on our leaderbords.  This means that they have been extended an invitation to participate in the Illinois Prep Top Times.  Not all athletes accept invitations, but most do.  It is up to the coach and athlete to decide weather or not to compete in the meet.  Once a decision is made, please inform Illinois Prep Top Times as soon as possible.

 

3. Cost -

The cost per team is $30 on or before Thursday, March 30th. Meet day registration of teams (Friday March 31st) is $45 at the Armory.  Payment can be made online, here.

 

4. Deadline -

The deadline for qualifying is Sunday, March 26th (meet results form up to

3/26 will be accepted until 3/28; 11:00 am.).  The deadline for accepting invitations is Tuesday, March 28th at 3:30 p.m.  If we have not received an acceptance by 3:30, we will assume you have declined.  You may accept by email, phone or fax.

 

5. Meet Confirmations –

As of 3:30 p.m. on March 28th, we will be turning off our fax and will not be responding to phone calls. We will not be returning phone calls to coaches who are asking to get their kids into an event.  Once you have decided to enter your athlete in the meet, the Coach, Athletic Director, or Principal must contact Illinois Prep Top Times to indicate that they will be competing at the meet.  WE CANNOT ACCEPT ENTRIES FROM PARENTS.  An athlete entered in the meet will be representing his/her school.  It is up to the school to allow the athlete to represent the school at this meet.  This is an IHSA meet, and no unattached entries are allowed.

 

6. Failure to Show Policy -

Probation:  Future qualifiers will not be extended an invitation for the following year, if a school has committed athlete(s) or relay(s), and does not show for the meet, and does not contact Illinois Prep Top Times to scratch their athlete(s) or relay(s),

 

Meet Day Information

 

1. Packet Pick up –

Packet pickup will be at the Drury Inn on Thursday evening after 5:00 p.m., Friday morning after 9:00 a.m. through Friday evening (Time- T.B.D.).  There will be Saturday morning pickup at the Track, however we prefer that you pickup your packet in advance.  

 

2. Armory Practice Times –

Teams that are going to the armory to practice must have first picked up their packet before practicing.  You will need your credentials to enter the Armory.  When entering the Armory to practice, you must enter through the southeast doors.

 

On Friday, the track will be open for practice from 1:30-3:00.  After that, we have to clear everyone out and allow only Class A competitors who have picked up their packets to be admitted. 

 

On Saturday the track will open at 7:30 a.m.

 

3. Entry for Non participating teams -

All non-competing athletes (i.e. Class AA on Friday night, Class A on Saturday) will be required to pay admission to the meet on day not competing. Teams can pay admission through both the Southeast and North Entrance doors.  Admission to the meet is controlled by the University of Illinois. 

 

4. Team Entry on Competition Day –

Teams will enter from the Southwest corner and use the south wall and South East Section of Bleachers (Where Marked) for team camp areas.

Coaches will be issued credentials.  Please contact us in advance to let us know who will need credentials.

Athletes Credential:  Athletes credential on the day of competition will be their issued bib number.

Coaches and Athletes: Athletes and Coaches will be allowed continuous passage through southwest and southeast doors as long as have a credential. 

Coaches passes: We are planning to admit two coaches per school.  If you have more than two coaches, we are asking that an extra coach be available to volunteer at the meet.  We may or may not have volunteer positions available, but we will get them a volunteer pass.

 

5. Spectator Seating -

The North and Northeast bleachers will be reserved for fans.

 

6. Clerking Area –

The clerking area, where athletes will get their hip patches, is located on the west end underneath the record boards. 

 

7. Athletic Trainer –

The trainer is located in the southwest corner.

 

8. Entry for Officials, volunteers and Media –

Officials, volunteers, and media will enter through the southwest corner.

 

Misc. Information

 

1.  Host Hotel –

The host hotel will be the Drury Inn (Tentative). 

 

2.  New Event -

Distance Medley Relay:  The top 12 seeded teams will be entered in the first Indoor

Classic DMR.  The order will be 800-400-1200-1600.  To seed, you will enter the open times of your best 400, 2- 800's, and 1600 of those whom you plan on running.  Preference will be given to 4 X 800 teams that have either qualified or just missed qualifying.  Relays participating in the DMR must pay an additional $25 entry fee.  The DMR will be placed between the 200 and the 4 X 400 in the meet.

 

3. WE ARE IN NEED OF VOLUNTEERS –

If you are planning to be at the meet and can help out in any way please let us know.  We will put your name on the pass list and get you a free T-Shirt.  Currently, we have most of our key officials in place, but we are in need of backup timers, pit rakers, block holders, and general field help.  High School Athletes not competing in the meet may facilitate in some capacities.

 

 4.  At no time is anyone allowed in the meet management area (above the storage shed).  Only those with proper credentials will be allowed in the meet management area.

 

 

 

Meet Day specifications:

 

Spikes: 1/4 inch spikes are allowed.

 

Awards: We will award trophies to the top six finishers in all events

 

Bibs: Will be worn on the front of the jersey. 

 

Shot & Pole Vault: Weigh in at the east end of the fieldhouse by the Clerking area.

 

Prelims: Top eight in all prelims (long jump, triple jump, shot put, 55 dash, 55 hurdles), will advance to the finals.  55 dashes & hurdles will advance on time only.

 

Checking in: Athletes must check into their event as soon as they are called; and must remain there once the event before theirs is on the track.  If an athlete misses his or her heat / section, they will not be allowed to run in a ÒmakeupÓ heat / section. 

 

Hip Patches: Must be worn on the right hip.  Only the fourth leg in relays will have to wear the hip patch.  In distance races, a patch will be worn on the left shoulder.  This helps the F.A.T. operator identify athletes.

 

ALL IHSA & NHSF Rules will be enforced.

 

Pole Vault: Two runways will be used.  The north runway will be reserved for the field

(Boys or Girls) that has the most competitors.  The south runway will be used after the completion of the long jump events.  Credentials will be issued for Pole Vault Coaches, and only Pole Vault coaches will be allowed in the Pole Vault area.  To reduce congestion, we are asking that everyone honor this.  Once your athlete is eliminated from the competition, we would like coaches to return to the stands. 

 

Triple Jump: Both boys and girls will compete on the west runway.  The field with the fewest competitors will go first.  Please check the website for final details.

Long Jumps: Boys will be on the Southwest pit, Girls on the Northeast

 

FAT Camera: Please do not cross the finish line once the meet has started.  Any additional movement at the start/finish line will disrupt the timing system and delay the meet.
